Every property manager knows the feeling: you start the day with a plan, and by 10am it’s already gone. An arrears notice needs sending, a tenant’s called about maintenance, a lease renewal is due, and somehow you still haven’t touched the inspections you meant to book yesterday.
The instinct is to just push through and work harder. But there’s a better fix, and it’s not about working longer hours, it’s about working out what actually needs you.
Not every task needs a property manager
This is the part that gets missed. A huge chunk of a PM’s week is genuinely important… but it doesn’t require property management judgement to complete. Sending arrears reminders, scheduling routine inspections, updating databases, processing maintenance requests, chasing documentation… these tasks matter, but they follow a process. They don’t need your experience, they need your time.
The trap most PMs fall into is treating every task as equally deserving of their attention, which means the high-value work (the stuff that actually needs your expertise, tricky tenant conversations, owner relationships, problem-solving) gets squeezed into the gaps.
Track your week before you decide what to delegate
Before handing anything off, it’s worth actually tracking where your hours go for three or four days. Most property managers are surprised by the result… often 15 to 20 hours a week are going to tasks that could be handled by someone else entirely, without any drop in quality.
Once you can see it clearly, delegating stops feeling risky and starts feeling obvious.
Build a simple process before you hand anything over
The property managers who delegate successfully aren’t just throwing tasks at someone and hoping for the best, they’ve documented the process first. A simple step-by-step for how arrears follow-ups work, how a lease renewal gets processed, how inspections get booked. This does two things: it makes delegation actually work, and it protects the business if anyone ever leaves.
If you don’t have processes documented yet, start with your most repetitive task. Write down exactly how you do it, step by step, as if you were training someone brand new. That document becomes the foundation for handing it off properly.
Delegating doesn’t mean losing control
This is the fear that stops a lot of PMs from getting support in the first place, the worry that handing tasks over means losing oversight. Done properly, it’s the opposite. With clear processes and the right support, you get more visibility, not less, because tasks are being completed consistently and on schedule instead of getting squeezed in whenever there’s a spare five minutes.
Where Taskers fit in
This is exactly what our Tasker Support service is built for. We provide trained, reliable support specifically for property managemen… arrears, lease renewals, inspection scheduling, admin, the lot… plugged straight into your existing systems and processes. You get real hours back, without the cost and hassle of hiring and training someone in-house.
If your to-do list is growing faster than your day allows, get in touch with the DFYS team and we’ll talk you through what a Tasker could take off your plate.
